Administration Officer

Full-time

The Administration Officer plays a crucial role in maintaining the seamless operation of office administration. This position is responsible for providing comprehensive support to the Senior Administration Officer and ensuring that administrative processes are efficiently managed.

Reports To: Senior Administration Officer
Job Purpose:

KEY RESULT AREAS
– Oversee estate management activities, including maintenance and repairs of company properties.
– Coordinate with service providers and manage property-related issues as they arise.
– Oversee the procurement and maintenance of office supplies and equipment.
– Monitor inventory levels to ensure that supplies are adequately stocked.
– Place orders for new supplies as needed and manage relationships with vendors to ensure timely delivery and cost-effectiveness.
– Conduct regular inventory audits to prevent stock shortages or excesses.
– Coordinate and manage travel arrangements for staff, including booking flights, accommodation, transportation and travel itinerary.
– Assist with visa and travel insurance requirements when necessary.
– Handle invoicing and process expense reports, ensuring accuracy and adherence to company policies.
– Track departmental budgets, monitor expenditures, and assist with budget preparation.
– Initiate and manage procurement processes, including obtaining quotes and processing purchase orders.
– Process and manage financial payments, ensuring accuracy and compliance with company policies.
– Manage all external courier and postal services, ensuring timely and accurate dispatch and receipt of mail.
Person specifications, Education, and Competencies required for the Job
– Minimum requirement: Bachelor’s degree from a recognized University.
– Minimum of 4 years of experience in an administrative role, with demonstrated expertise in office management and support functions.
– Contract management skills.
– Proficiency in report writing and analysis.

– Proficiency in MS Office Suite and web-based applications
– Strong organizational and time management skills with the ability to prioritize tasks and manage multiple responsibilities.
– Excellent written and verbal communication skills.
– Problem-Solving, Strong analytical skills with the capability to address and resolve issues proactively.
– Ability to work both independently and as part of a team, demonstrating flexibility and a collaborative attitude.
– Interpersonal Skills must have the ability to build and maintain positive relationships with staff, vendors, and external partners.
