Executive Assistant

Full-time

The Executive Assistant will be responsible for serving as a key point of contact, managing the Executive’s schedule, communications, and travel arrangements. He or she will also be responsible for anticipating needs, handling confidential information with discretion, and ensuring the smooth operation of the Executive Office.

Roles and Responsibilities
• Manage the Executives’ calendar, including scheduling meetings, appointments, and travel arrangements.
• Coordinate and prioritize incoming requests and inquiries, ensuring timely responses and follow-up actions.
• Prepare and edit correspondence, reports, presentations, and other documents on behalf of the executives.
• Assist in the preparation of meetings, including agenda development, document distribution, and meeting minutes.
• Handle sensitive and confidential information with discretion and professionalism.
• Act as a liaison between the Executives and internal teams, external clients, and other stakeholders.

• Anticipate the needs of the Executives and proactively address them to ensure efficient workflow.
• Maintain organized filing systems and databases to facilitate easy access to information.
• Oversee the smooth functioning of the Executive Office, ensuring all supplies and equipment are readily available.
• Maintain a professional and organized work environment.

Qualifications, Experience and Skills
• Bachelor’s degree in Public administration, business administration, Management, or related field preferred.
• Minimum of 3-5 years of proven experience as an Executive Assistant, Personal Assistant or similar role, preferably in a construction or related industry.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
• Strong organizational skills with the ability to prioritize tasks and manage time effectively.
• Excellent verbal and written communication skills, with a keen eye for detail.
• Ability to work independently with minimal supervision and thrive in a fast-paced environment.
• Discretion and confidentiality when handling sensitive information.
• Flexibility and adaptability to changing priorities and deadlines.
• Professional demeanor and interpersonal skills to interact with individuals at all levels

Work Hours: 8

Experience in Months: 60

Level of Education: Bachelor Degree
