Position
Reporting to the Executive Director, the Finance & Project Oversight Leader has three primary areas of
focus, in order of priority / effort:
1) Financial management of Hearts & Hope in the US, as well as administrative management of the
office facilities;
2) Project oversight of all projects executed through the LCU; and
3) Financial oversight & administrative leadership of the HH4U office in Uganda.

Responsibilities
1) Financial & Administrative Management
Monthly
– Bookkeeping, including accurately recording donations & expenses in systems (e.g. Quickbooks),
perform balance reconciliation, and close the books
– Generate Financial Reports for review by leadership team
– HR Payroll processes for US team members
– Manage sponsorship billing (annual sponsorship renewal process, credit card declines, etc.)
– Coordinate office services from external parties & suppliers & ensure timely payment of invoices/bills, manage inventory of office supplies, etc.
– Maintain inventory of office supplies, ad hoc support of meetings (e.g. ordering catering), printing of postage, etc.
– Support Program Leader in reviewing / developing program budgets
Annually / Ad Hoc
– Support annual fundraiser (“Party with a Purpose”) using auction software and event closeout
– Lead the development of the annual budget in coordination with team members and Executive
Director for submission to the Board of Directors
– Review General Ledger Accounts, Classes, and financial processes and make any recommendations for improvement
– Support external accountants/auditors for annual audit and 990 tax filing
– Use Donor Management Platform to send annual donation statements to donors each January
– Coordinate budgets for US Travel & Entertainment events and review expense reports
– Work with team members to improve policy & process documentation within the US office
2) Major Project (LCU) Oversight
– Work with the LCU Project & Finance leads to improve project and grant reporting
– Work with the LCU Project & Finance leads to develop project execution processes / phases (e.g.
Ideation, Budgeting, Approval, Implementation, Close Out)
– Review and approve/reject/modify planned project budgets developed by the LCU Project & Finance departments, in collaboration with Executive Director
– Build & Manage comprehensive project budgets for projects initiated by partners, individual donors, etc. in coordination with Executive Director
– Receive, review, and approve/reject Project Completion and Grant reports from the LCU
– Send wire transfers to the LCU on a monthly basis (operational grants, project funding, etc.)
3) Hearts & Hope Ugandan Office Financial Oversight
– Work with Accounting Assistant in Uganda to streamline monthly accounting processes
– Work with Office Administrator to review/approve/modify annual budget for office expenses
– Review monthly accountability report from Ugandan team
– Review monthly, quarterly, and annual financials to support annual audit
– Communicate & send monthly transfers to Hearts & Hope bank in Uganda

Qualifications
Required
– College degree, preferably in Accounting/Finance
– Experience with QuickBooks and standard account practices
– Experience developing and managing budgets and forecasts
– Computer proficiency – Microsoft Office (Excel, Word, PowerPoint)
Preferred
– Experience monitoring projects, developing budgets, monitoring project timelines, and reviewing project accountabilities during and after project implementation
– Experience problem solving and successfully delivering results with limited resources
– Experience working in a non-profit or international non-profit environment
– Donor / customer management databases
Soft Skills
– Passion, integrity, and mission-minded
– Understanding of working with team members of different cultures
– Ability to be self-directed and independent worker in a small team environment
– Supportive and positive team member

Other Information
This position is being offered as full-time salaried position with Hearts & Hope.
Position requires working in the Hearts & Hope office with opportunity for flexible work schedule,
including potential work from home as needed. Position may also require occasional evening meetings
with extended team. Position will involve 1 paid trip to Uganda each year.

Currently, Hearts & Hope has 4 team members in the US and 8 team members in Uganda. Hearts &
Hope is growing and this new full-time role will be a key role to the organization’s future success!
