Front Office and Document Officer
Contract
Position Summary:
We are seeking a highly organized and customer-focused individual for the role of Front Office Customer Service Representative / Documentation Officer at our Uganda agency. This position reports administratively to the Customer Service Coordinator and functionally to the North Corridor Documentation Supervisor in Nairobi.
Key Responsibilities:
- Customer Identification, Documentation Collection, and Authentication Pre-Release:
- Authenticate and receive customer shipping documents for Delivery Order (DO) or shipment releases.
- Maintain accurate records and file customer care documents.
- Ensure confidentiality of all documents.
- Perform Pre-Release and Post-Release Checks:
- Verify extra charges, manage NIF (Not Invoiced Freight) process, and ensure invoicing accuracy.
- Check credit terms, confirm full payment, and ensure accurate invoicing.
- Provide exceptional service and timely updates to import customers.
- Customer Service:
- Escalate challenging cases to the Uganda Documentation Supervisor.
- Educate customers and promote e-commerce transactions.
- Maintain professional communication through all channels.
- Contact Person for Imports Centralized Functions:
- Resolve queries related to centralized functions and idle full management.
- Front Desk Management:
- Handle walk-in customer queries and maintain a professional front desk environment.
- Ensure prompt resolution of issues and efficient document issuance.
Skills and Qualifications:
- Diploma in Shipping or related professional qualification.
- Knowledge of shipping logistics, import/export documentation, and customer service.
- Experience in shipping, forwarding, or logistics in a similar role.
- Proficiency in MS Office Applications.
- Strong customer service skills with excellent communication and interpersonal abilities.
- Effective time management and organizational skills.
- Ability to multitask in a fast-paced environment.
- Strong analytical and problem-solving skills.
