Graduate Trainee – Administrative Assistant

Full-time

General Summary

The ACE is seeking a proactive and enthusiastic recent graduate to join us as an administrative assistant. This graduate trainee position offers a unique opportunity for a motivated individual to kick start their career in science administration. The role at the ACE requires an individual with strong communication skills and a keen ability to leverage technology effectively. The ideal candidate should possess a background in either technology/science or journalism/communication, with an intention to pursue a science administration career. The incumbent will work both independently and collaboratively to support various functions within the ACE. Key responsibilities include coordinating student activities, assisting with event planning and communications, managing social media platforms, and providing general administrative support.

Key Responsibilities

  • Coordinating MSC/PhD Bioinformatics students and Makerere University College of Health Sciences, Immunology and Molecular Biology department.
  • Work together with the administrative officer to organize meetings and events at ACE
  • Work together with administrative officer in preparing ACE project powerpoint presentations, newsletters, ACE one-pagers
  • Maintaining and updating ACE social media platforms (Facebook, YouTube, Instagram, Twitter) and website
  • Writing meeting minutes
  • Provide general support to visitors
  • Support and coordinate grant writing teams
  • Any other duties assigned by Center Director and Deputy Director

Person Specification

  • Should be a recent graduate between 2023 and 2024
  • Possess strong communication skills, both verbal and written to communicate with ACE collaborators, fellow employees, interns and other stakeholders
  • Being proficient in using technology e.g MS Office suite (MS word, powerpoint, excel) social media platforms, Artificial Intelligence assistants, collaborative platforms
  • Personal initiative
  • Having the ability to work independently as well as part of a team
  • Having a willingness to learn
  • Good planning skills

IDI was established in 2002 in Kampala, Uganda by the Academic Alliance for AIDS Care and Prevention in Africa. The Academic Alliance was founded by a group of infectious diseases experts from Uganda and North America, Dr. Merle A Sande, Dr. Henry A. McKinnell, Jr and Dr. Nelson K Ssewankambo whose vision and perseverance for an Africa free from the burden of infectious disease enabled the IDI to become a world-class center of excellence. With Pfizer funding, Drs. Sande, McKinnell, and Sewankambo were able to begin training health care workers, treating patients, and conducting cutting-edge research through the Academic Alliance. This public-private partnership aimed to provide excellent care for People Living with HIV (PLHIV) in Uganda, to train healthcare workers to serve the tens of millions of PLHIV in Africa, to maintain the strategic emphasis on prevention, and to conduct research relevant to improving the outcome of the epidemic. In 2004, ownership of the Institute was transferred to Makerere University, and the Institute moved into its current building, the McKinnell Knowledge Centre.
