Human Resource and Administrative Assistant Volunteer

AFOD Uganda is looking for dynamic, experienced, and qualified Ugandans to fill the position of Human Resource and Administrative Assistant Volunteer
The human resource and Administrative Assistant Volunteer is responsible for providing office support to the human resources and administration department ensuring that the Country office and all HR and administrative functions are managed effectively according to AFOD procedures and regulations.
Reports to: Human Resource and Administrative Assistant
Location: Kampala Country Office
Major Duties and responsibilities
1) Administration
• Assist in the follow-up, processing, and archiving of AFOD operating documents and information for example operating licenses, registrations, and permits.
• Support the Coordination of all office administrative and logistics tasks including assisting in the procurement process; e.g. booking tickets, hotels, purchasing, management of office monthly bills, etc. of the organization and ensuring its timeliness and efficiency.
• Support in the organization of special events e.g. seminars, workshops, retreats, etc.
• Ensure the maintenance of office premises (meeting hall, public area, storeroom, etc.).
• Assist in filing and archiving of hard copies and electronic copy documents for easy retrieval;
• Support in the management of the office Front Desk including receiving and responding to office inquiries.
• Support in Taking meeting minutes, filing and disseminating minutes to all staff members.
• Support in the Supervision and monitoring of office inventory including ensuring appropriate levels of office supplies.
• Assist in gathering information for security updates to all Office staff.
2) Human Resource;
• Support in Monitoring and managing staff welfare.
• Support in the Preparation and distribution of pay slips
• Support in the staff leave Management including appropriate staff leave requests, tracking, and updating the personnel files.
• Support in updating personnel records in the HR databases such as new hires, terminations, etc.
• Assist in posting job ads on careers pages, processing received resumes, and supporting in screening applicants.
• Support the HR in ensuring reference checklists for potential candidates’ referees.
• Prepare monthly reports to support operational management.
3) Other responsibilities;
• Support in the office correspondences, mailing system as well as courier.
• Any other duties assigned.
Minimum Qualification
• Bachelor`s degree in Human resources, Business Administration and Management or similar relevant field
• Minimum of 2 years of working experience in a similar role
• Familiarity with the labor laws of Uganda

• Demonstrated computer skills in Microsoft Office Suite applications including Word, Excel, PowerPoint, and Outlook

• Very good listening, spoken and written command of English
• Basic Office Administration Management
