Logistics Manager

Full-time

Coordination of all Project Onshore and Offshore logistics activities related to the Tilenga Project in support of the Logistics Manager, including arranging, controlling and coordinating cargo arriving into Uganda by land, air and sea, cargo transfer to the Project Site, document preparation, contract administration and review of Work Instructions and invoices.

Responsibilities
Key Tasks and Responsibilities:
• The Logistics Coordinator is supervised and reports to the Project Logistics Lead and / or Logistics Manager

• Responsible for overseeing administration process of the logistics function related to the Tilenga Project in support of the Project Logistics Execution Plan. This includes supporting the Logistics team in London, liaison with Project team members, suppliers and logistics service providers to execute the plan within schedule and cost constraints. Effective team player skills and data management skills are major position requirements

• This position is expected perform most logistics execution activities autonomously with the guidance of the Logistics Manager
• Execute shipment activities in accordance with logistics execution plan
• Develop and maintain shipment status reports
• Provide input into electronic materials management systems
• Audit and approve logistics provider work instructions and invoices as assigned

• Maintaining shipping documents related to the Project logistics activities
• Under general supervision, plans, implements and monitors the movement of materials for the Tilenga Project for cargo arriving by sea into Mombasa Port, Kenya or via air freight through Entebbe airport in Uganda
• Review of shipping documentation
• Liaising with both the Offshore and Onshore freight forwarders as assigned to the Project to assure timely deliver of cargo to the Project Site
• Coordinates and participates in preparation of weekly / monthly reports

• Understands restrictions and/or limitations on the modes of transportation imposed by national and/or international regulations
• Advises project Site team, of cargo deliveries and material movement (packing, marking, shipping and invoicing instructions) as far as applicable
• Reviews modes of proposed shipment, material description and shipping terms against contract rates and conditions to ensure that proper rates and routes are being used
• Keeps abreast of Customs Rules and Regulations
• Coordinates with Expeditors and package Managers in relation to release of cargo for shipments and that documentation is issued to the project logistics group in a timely manner
• Show flexibility and ensure proper hand-over with regards to:
o Replacement of colleagues during illness and holidays
o The provision of assistance to other colleagues with heavy workload (also other projects) when possible/desirable
o Managing/learning of current future working methods and software applications
• Participates in and encouarges others to participate in all safety programs implemented for the Project
• Review of monthly reporting of KPIs identified by Logistics Manager
• Executes the best practice for coordinating the flow of cargo and logistics information across all Project disciplines / departments

Qualifications
Essential Qualifications and Education:
• Business or Technical Degree related to Logistics or supply chain management
• 3-5 years experience in transport and logistics
• Certification from accredited logistics program a plus
• Basic understanding of local and national logistics regulations and agreements
• Effective communications and negotiation skills
• Working knowledge of Microsoft Office applications (Word, Excel, Outlook etc.)
• Must have the ability to work both independently and within a team environment

Level of Education: Bachelor Degree
