Medical Coordinator Assistant

Médecins Sans Frontières (MSF) is hiring a Medical Coordinator Assistant who will coordinate and apply the Support Unit Kampala’s (SUKA) staff health policy and oversee activities for:
Locally Hired Staff (LHS)
International Mobile Staff (IMS)
Training participants
The role also involves evaluating hospital structures that can serve as reference structures for both national and international staff, ensuring medical monitoring of MSF personnel, and overseeing medical expenses related to consultations and hospitalizations in collaboration with the line manager.

Main Responsibilities
Staff Health Policy Implementation
- Implement and monitor the staff health policy in collaboration with MSF France and the Staff Health Unit (SHU).
- Facilitate medical follow-ups for LHS, IMS, and dependents, including assessments, treatments, vaccinations, etc.
Health Promotion & Education
- Organize and coordinate staff health promotion events and training on:
- Operational Safety & Health
- First Aid
- Vaccination Campaigns
- Mental Health Awareness
- Infection Prevention & Safety Measures in the workspace
Medical & Insurance Monitoring
- Assess the health insurance service provider and prepare a quarterly staff health utilization report.
- Oversee medical follow-ups for MSF staff with chronic conditions.
- Evaluate hospital structures as reference facilities for LHS, IMS, and training participants.
- Ensure medical briefings and follow-ups for all new SUKA staff, visitors, and training participants.
Medical Expense Oversight
- Monitor overall medical expenses for LHS, ensuring cost-effectiveness.
- Oversee all extraordinary medical expenses (not covered by insurance) in collaboration with:
- Medical Coordinator (Medco)
- Staff Health Unit (SHU)
- HR & Finance Departments
Administrative Support & Health Records Management
- Organize administrative support around IMS medical care and ensure proper documentation of medical reports and treatments.
- Ensure IMS and dependents’ health records are updated and submitted to SHU.
- Coordinate with the Head of Mission & Medical Coordinator in case of medical emergencies.
Emergency & First Aid Preparedness
- Facilitate admission to suitable medical structures for emergencies during trainings.
- Ensure first aid kits and emergency boxes are up-to-date in all SUKA cars and premises in coordination with the pharmacist.
Staff Health & Sick Leave Management
- Maintain confidential staff health records (vaccinations, sick leave, etc.).
- Follow up on SUKA staff sick leave in line with the Staff Health Policy.
- Assist staff traveling abroad for missions/training with required medical check-ups.
Required Qualifications & Experience
Education:
- Medical or paramedical diploma (e.g., Diploma in Clinical Medicine & Community Health)
Experience:
- Training/experience in tropical medicine and/or public health at diploma level.
- Good knowledge of Uganda’s medical landscape.
- Minimum 2 years of experience.
