Office Administrator

The Office Administrator will ensure the smooth operation of the EACOP Uganda Branch Office. Responsibilities include managing the reception, attending to company guests, overseeing company facilities and services (mail, stationery, consumables, housekeeping), and managing accommodation for visiting or resident employees. The Office Administrator works closely with all other departments and reports directly to the General Services Administrator.

Mission and Job Dimensions:
The East African Crude Oil Pipeline (EACOP) Project involves the construction and operation of a buried, cross-border pipeline to transport crude oil from the Lake Albert area in Uganda to the eastern coast of Tanzania for export to international markets. The pipeline will stretch 1,443 kilometers (km), of which 296 km will be in Uganda, traversing 10 districts: Hoima, Kikuube, Kakumiro, Kyankwanzi, Mubende, Gomba, Sembabule, Lwengo, Rakai, and Kyotera.
Key Responsibilities:
The Office Administrator will:
- Greet and welcome guests upon arrival at the office.
- Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
- Maintain a safe environment for staff and visitors, ensuring responsible operations of the office.
- Order and manage office supplies, keeping inventory of stock.
- Arrange travel and accommodation for both incoming and resident employees.
- Keep updated records of office expenses and costs.
Context & Environment:
The job holder operates under the management of the EACOP Uganda HR and Corporate Affairs team. The position is based at the Hoima HUB Office.

Person Specification:
Education, Training, Skills & Experience:
- Bachelor’s degree in administration or a related field.
- Minimum of 2 years of experience in a related administration role.
- Proven ability to multitask, work independently, and manage significant workload and competing demands.
- Strong interpersonal skills.
- Good organizational skills and aptitude to work under stress.
- Good HSE (Health, Safety, and Environmental) knowledge and awareness.
