Payroll Officer
Full-time
The Payroll Officer will be responsible for the accurate and timely processing of payroll. This role involves managing payroll functions in-relation to accuracy of attendance date, benefits, compensation and ensuring compliance with regulations while addressing employee queries related to the payroll.
Reports to: Human Resource Manager
Remuneration: Salary is market competitive
Key Duties and Responsibilities:
Payroll Processing:
- Prepare and process payroll on a monthly basis.
- Ensure accuracy in calculating wages, bonuses, overtime, and deductions.
Record Keeping & Data Entry:
- Maintain up-to-date payroll records, including employee records, attendance records, new hire details, terminations and changes in employment statuses.
- Ensure all payroll transactions are recorded accurately.
Time & Attendance Tracking:
- Track employee attendance, hours worked and leave balances to ensure accurate payroll calculations.
Compliance:
- Stay informed about changes in payroll laws and regulations.
- Prepare reports on taxes and submit to Accounts/Finance for filing.
Reporting:
- Assist in the general payroll documentation and reports for management, internal/external purposes.
- Analyze payroll data for discrepancies and trends.
Employee Support:
- Serve as a point of contact for employee inquiries related to payroll, including pay slips, deductions, and tax deductions.
- Provide information to management on payroll policies and procedures.
System Management:
- Assist in maintaining and upgrading payroll software and systems.
- Implement process improvements.
Collaboration:
- Work closely with the HR department to ensure smooth onboarding, off boarding processes including benefits enrollment.
- Manage payroll deductions related to benefits/compensations.
- Assist in resolving any audit findings related to payroll processes.
Training and Development:
- Support training for new employees on payroll processes and systems.
- Stay updated on best practices in payroll management and system enhancements.
Confidentiality:
- Ensure the confidentiality and security of payroll information and employee records.
Key Performance Indicators:
- Timely processing of payroll.
- Number of payments made and processed.
- Number of errors made.
- Number of complaints from employees.
Qualifications, Skills and Experience:
- Qualification: Bachelor’s Degree in Accounting, Finance, HR or a related field.
- Linguistic skills: Fluent in English (Spoken & Written)
- Experience: 4-5 Years’ Experience in Payroll Processing & administration.
- Age: Between 35 – 40 Years
- Residency status: Preferably Ugandan National or holder of Certificate of Residence, but open to Expatriates
Key Skills:
- Strong attention to detail.
- Proficiency in payroll software preferably Endeavour/ERP/SAP.
- Knowledge of Microsoft Excel.
- Knowledge of Labour laws, payroll laws and regulations.
- Excellent communication skills.
- Ability to work under pressure.
