Procurement Assistant

Job Purpose:

Ndejje University seeks a Procurement Assistant to support the Procurement Officer in the execution of all procurement-related tasks. The successful candidate will ensure the timely acquisition of goods, services, and works as part of the University’s Procurement Plan for the financial year. This is a crucial role for ensuring that all procurement activities adhere to the University’s policies and procedures.

Key Responsibilities:

  1. Procurement Support:
    • Assist in executing the approved Procurement Plan.
    • Provide critical advice and support to ensure timely procurement of goods, works, and services.
    • Coordinate procurement activities in line with the University’s needs and regulations.
  2. Documentation and Compliance:
    • Ensure all procurement documentation is accurately maintained and compliant with University policies and procurement laws.
    • Monitor procurement files for completeness and ensure necessary approvals are secured.
    • Maintain updated records of contracts, purchase orders, and other procurement-related documents.
  3. Supplier Management:
    • Assist in the supplier evaluation and selection process.
    • Monitor supplier performance, ensuring compliance with the terms of contracts.
    • Support in resolving any issues related to suppliers, contracts, or service delivery.
  4. Coordination of Procurement Activities:
    • Assist in the preparation and issuance of tenders, bids, and requests for proposals (RFPs).
    • Participate in procurement committees and provide support during procurement decision-making processes.
    • Liaise with departments to ensure procurement needs are well understood and met.
  5. Data Analysis:
    • Assist in analyzing procurement data to identify trends, forecast requirements, and improve procurement strategies.
    • Maintain reports on procurement activities and share them with the Procurement Officer as needed.
  6. Administrative Support:
    • Maintain accurate records of procurement transactions.
    • Provide administrative support to the Procurement Officer in preparing procurement-related reports for management.
    • Ensure that all procurement activities are carried out within the approved budgets.

Qualifications, Skills, and Experience:

  • Bachelor’s Degree in Procurement, Business Administration, or a related field.
  • Postgraduate qualification or diploma in Procurement and Supply Chain Management or Procurement and Logistics Management is an advantage.
  • Minimum of 3 years of hands-on experience in procurement of goods, works, and services in a reputable organization.
  • Proficiency in Microsoft Office applications (Excel, MS Word), with experience in ERP systems and SAGE being an advantage.
  • Strong knowledge of procurement principles and best practices.
  • Ability to analyze data, evaluate suppliers, and make informed procurement decisions.
  • High level of integrity, confidentiality, and professionalism.
  • A mature and practicing Christian who aligns with the University’s core values and philosophy.
  • Good standing within the Church and the community.
  • Previous experience in a higher education institution is an advantage.
  • Age between 35-45 years at the time of application.
