The Finance and Admin Assistant

Full-time

The Finance and Admin Assistant will drive the financial and administration support processes for the Finance Department and generate reliable, transparent, and timely financial and administrative information expected by Raising the Village.

POSITION: Finance and Admin Assistant

LOCATION: Kampala, Uganda

EMPLOYMENT TYPE: Full-time

EXPERIENCE: 2+ years

TRAVEL REQUIRED: 30%

REPORTING TO: Administrator

 

Roles & Responsibilities

  • Extracting, reviewing and Filing supplier’s payment documentations from email sent by  Procurement and logistics on a weekly basis.
  • Ensure completeness of supporting documentation for payment on a weekly basis.
  • Computing WHT from taxable invoices to provide for Net payable Value on a weekly basis.
  • Updating accurate information from taxable invoices in WHT Template for monthly return Filing on a weekly basis.
  • Updating and maintaining Data collector’s PAYE and NSSF Template weekly.
  • Ensure that financial documents, such as cash advance forms and cash request forms, are up to date at all times, orderly, well kept, and readily available for reference and audit when required.
  • Withdraw project activities Funds from the bank, disburse them, and keep accurate records for all daily transactions.
  • Update all finance-related internal systems with financial data.
  • Scanning and numbering of the scanned finance documents on a weekly basis and sharing them with the Finance Officer for review.
  • Take part in budgeting, budget tracking and monitoring.
  • Implementation of financial policies.
  • Send and follow up on invoices and receipts for proper accountability.
  • Review and reconcile project activities accountabilities documentations.
  • Reconcile any discrepancies or errors identified in accountability submissions.
  • Report any practice that is against financial procedures to the finance Leadership.
  • Suggest changes or improvements to increase accuracy, efficiency, and cost savings.
  • Manage all the accountability documents and submit them to the Finance Officer for review on a weekly basis.
  • Provide support to staff by explaining financial information to ensure adherence to

Requirements and Experience

Preferred Technical Skills 

  • Excellent mathematical skills; understanding of data privacy standards; integrity; honesty, critical  thinking skills;
  • Knowledge of accounting and financial regulations
  • Ability to travel at least 30% of the time to different districts of RTV field operations
  • Excellent computer skills, including Excel and Microsoft Word.
  • Excellent analytical and numerical skills
  • Good time management skills
  • Strong ethics, with an ability to manage confidential data.

 

Education, Qualification, and experience 

  • Degree in Business administration or Bachelor’s Degree in any other relevant field
  • A minimum of (2) two years of proven experience in Finance Management, Administration, and Accounting.
  • Knowledge of WHT, PAYE, and NSSF filing will be an added advantage
  • Any level of CPA or ACCA will be an added advantage.
