General Summary
As part of the Supply chain Team the warehouse officer will maintain and operate our regional warehouse containing a wide variety of supplies, parts and materials as per organization standards, maintaining up-to-date and accurate inventory records; and to receive and issue authorized supplies and materials according to established procedures.
Key Responsibilities
- Supervise and participate in receiving, ordering, stocking and issuing supplies and materials to regional clusters
- Issue tools, inventory parts, materials and supplies and prepare monthly activity reports
- Ensure proper inventory levels; check stock items for reorder; maintain stock records and space planning.
- Inspect goods received to identify shortages or breakage and take necessary action
- Receive shipments e.g. from abroad/overseas and arrange for all the required documentation
- Classify items, allocate and track physical location of stock items within the warehouse
- Responds to questions regarding stock items, estimate departmental supplies and equipment needs and maintains a reasonable stock on hand
- Ensure proper and precautionary methods are observed in handling and storing items requiring special treatment
- Support the supply chain function including enforcing of suppliers’ tender/contract obligations and initiate action in case of supplies
- To take adequate security measures to prevent theft pilferage etc. at the warehouse and cluster offices
- To periodically conduct stock, take and share reports with the supervisor for decision making.
- Supervise and Train in the efficient utilization of available storage space and other GSP and GDP
- Ensure timely update and accuracy of stock cards at all times
- Efficiently use the available warehouse management information system.
- Performs other related duties as assigned by the supervisor and the department leadership.
Academic Qualification
- A bachelors Degree, in procurement and supply chain, business administration, warehouse and inventory management
- Medical Supply chain related background is an added advantage
- Post graduated qualification in supply chain, business administration, CILT, CIPS and any other related
Specific Experience
- At least 5 years working experience in warehouse management and supervising at least 5 staff.
Person Specification
- Knowledge of warehouse operations and procedures
- Microsoft office proficiency
- Knowledge of the characteristics, uses and proper handling/storage techniques of items supplied
- Ability to interpret and follow oral and written instructions
- Ability to prepare and maintain stock records, reports and inventories and to estimate department’s needs in order to maintain proper inventory levels.
- Ability to work with computerized inventory control system
- Strong interpersonal and supervisory skills
- Good written and oral communication skills
- Problem solving and innovation skills
