As we continue to grow and expand across East Africa, we are looking for highly motivated, skilled, and detail-oriented individuals to fill the role of Human Resource Assistant (HRA) at our Head Office in Nalukolongo.

Key Responsibilities

Attendance & Timekeeping

  • Maintain and update daily attendance records for permanent and casual staff, tracking time-in, time-out, overtime, and shift rotations.
  • Prepare and analyze daily, weekly, and monthly attendance reports, identifying trends in absenteeism, punctuality, and overtime.
  • Monitor and escalate issues related to lateness, absenteeism, and overtime to supervisors and HR management.
  • Track probationary staff, contract renewals, and confirmations to ensure compliance.
  • Resolve attendance record anomalies with departmental heads.

Casual Wage Management & Payroll Support

  • Collect and reconcile weekly casual staff attendance sheets.
  • Validate casual wage computations, including basic pay, overtime, and bonuses.
  • Support monthly payroll preparation, ensuring accurate calculations of salaries, allowances, deductions, and bonuses.
  • Process statutory deductions (NSSF, PAYE, Local Service Tax, Workers’ Compensation).
  • Handle payroll inquiries with professionalism and confidentiality.

Recruitment & Onboarding

  • Draft job advertisements, screen CVs, shortlist candidates, and schedule interviews.
  • Conduct reference checks, credential verification, and medical clearances.
  • Draft offer letters, contracts, probation agreements, and renewal letters.
  • Facilitate induction and orientation programs, introducing new hires to company culture, policies, and safety regulations.
  • Support recruitment logistics, including coordinating interview panels and candidate documentation.

Employee Records Management, Filing & Documentation

  • Maintain comprehensive HR files (physical and digital) for easy retrieval.
  • Ensure confidentiality of sensitive employee information.
  • Conduct regular HR file audits for compliance.
  • Digitize records using the Mermidon HRIS system.
  • Archive inactive files for audits, legal cases, or future reference.

Leave & Exit Administration

  • Manage leave applications, approvals, and balance tracking.
  • Provide leave reports for payroll and workforce planning.
  • Support exit clearance processes, including final dues computation and recovery of company property.
  • Conduct and document exit interviews, capturing feedback and suggestions.
  • Maintain records of resignations, terminations, retirements, and redundancies per labor laws.

Disciplinary Procedures & Performance Monitoring

  • Draft and issue disciplinary notices, warnings, and show-cause letters per company policy.
  • Organize and document disciplinary hearings, recording outcomes.
  • Ensure compliance with the HR Manual and Ugandan Employment Act.
  • Track performance appraisals and prepare reports for management.
  • Report underperformance, absenteeism, and misconduct to supervisors.

Employee Relations & Staff Welfare

  • Act as the first point of contact for grievances, welfare concerns, and HR inquiries.
  • Provide guidance on HR policies, benefits, and entitlements.
  • Support conflict resolution and mediation for a harmonious workplace.
  • Organize welfare activities, including team-building, health talks, and recognition ceremonies.
  • Promote an inclusive and positive workplace culture.

Compliance, Training & Reporting

  • Ensure compliance with Ugandan labor laws, safety standards, and company policies.
  • Coordinate training programs, workshops, and refresher sessions.
  • Prepare HR reports on headcount, turnover, absenteeism, disciplinary cases, and recruitment metrics.
  • Provide accurate HR data for audits and inspections.
  • Recommend improvements to HR processes based on metrics analysis.

Minimum Qualifications & Experience

  • Bachelor’s Degree in Human Resource Management, Business Administration (HR option), or related field.
  • 1–2 years of practical HR experience, preferably in a manufacturing or industrial environment.
  • Knowledge of Ugandan labor laws, industrial relations, and grievance handling.
  • Experience with HRIS systems, such as Mermidon.
  • Proven experience in payroll support, onboarding, and disciplinary processes.

  • Extended hours may be required during payroll processing, disciplinary hearings, audits, or recruitment periods.
  • Handling confidential employee information requires high integrity and professionalism.
  • Dynamic, fast-paced environment supporting routine and urgent HR tasks.
  • Occasional field visits or interactions with external stakeholders (vendors, regulators, trainers).
  • Adherence to occupational health and safety standards.
